Terms of Service

ClientOnboarding.ai is a product of Toby The Doby, LLC ("we", "us"). By creating an account or using the service you agree to these terms. If you are agreeing on behalf of a company, you confirm you have authority to do so.

ClientOnboarding.ai turns your implementation notes into a shared plan, gives your team a board to run it on, gives your client a private link to act on their own items, and sends scheduled reminders and recaps. We do not host or store your files; you link to folders and documents that live in your own systems.

Every new workspace gets 14 days free, with no card required up front. At the end of the trial you choose a plan to keep using the workspace. If you don't, your workspace becomes read-only rather than being deleted immediately, and you can export or return to it later.

There is one plan, priced per company rather than per person: $99 per year. Your whole team and unlimited client contacts are included, and your clients never need paid logins. Every plan starts with a 14-day free trial and no credit card. Prices exclude taxes.

Additional usage. Your plan includes a monthly AI allowance (currently 500 AI actions per workspace, such as a chat reply or a drafted plan). Team members, client contacts, projects, reminders and client links do not count against it. If you need more, you can buy a Power Pack for $99, which adds extra AI allowance for the calendar month it is bought. Power Packs are never bought automatically. Owners and admins set a monthly spending limit on the Billing page; it starts at zero, and we will not sell or charge for packs beyond it. If you use the whole allowance, AI features pause until the next month or until you add a pack. Your data, boards and client links keep working.

Why usage is not fixed. AI provider prices and token costs change often. We keep the product lean by using ordinary calculations and rules wherever they work, and AI only where it helps. That lets us keep the base price low without passing on every change. We may adjust included allowances or the price of additional capacity. Changes apply from your next billing period, and we will give you reasonable notice before any increase applies to you.

Subscriptions renew automatically until you cancel, and you can cancel any time from your account. Cancelling stops the next renewal; the current paid period is not refunded. Earlier founding lifetime purchases remain valid for the lifetime of the product, meaning as long as ClientOnboarding.ai is offered. If we ever discontinue the service, we will give at least 90 days' notice so you can export your data.

All sales are final. The 14-day free trial is there so you can evaluate the product fully before paying. Once a payment is taken, it is non-refundable.

We call our approach ethical unlimited. Where "unlimited" appears, it means ordinary onboarding work by a small or mid-sized company is not metered or capped: projects, client contacts, reminders, and client links. It does not mean unlimited resources for any purpose. The only limits are the ones written below, which exist to stop abuse and to cover costs that genuinely vary, mainly AI. We will never charge you for usage beyond a cap you set, and we tell you before a limit is reached where we can.

ClientOnboarding.ai is priced for small and mid-sized teams, not for enterprise-scale deployments. Normal use for a company of this size is always fine; the limits below exist only to stop a single workspace consuming resources meant for everyone.

People. We do not charge per seat and we do not cap client contacts or reminder recipients, because limiting them would defeat the point of the product. Fair use for one workspace is up to 25 internal team members. Beyond that, or for organisations that need hundreds or thousands of seats, contact us about a larger plan instead of adding accounts.

Storage. Each workspace includes up to 50GB of workspace data: plans, tasks, comments, notes, and activity history. We do not host file uploads; resources stay as links in your own systems, so ordinary use sits far below this.

AI use. Plan drafting, reminders, recaps, and the assistant run on AI usage included in your subscription, under a monthly fair-use allowance sized for normal onboarding work. Automated, scripted, or bulk generation, resale of the AI capability, or use as a general-purpose AI endpoint is outside that allowance.

If usage is far outside normal patterns we will contact you first and work out a sensible plan before taking any action. We reserve the right to set or enforce caps on team members, storage, and AI use for a workspace, and to offer paid add-on capacity or a larger plan when usage consistently exceeds the fair-use allowance. We may throttle or suspend accounts used for unsolicited bulk email, resale of the service, automated scraping, sharing one workspace across separate businesses, or anything unlawful or abusive.

You keep all rights to the content you put into ClientOnboarding.ai. You grant us only the permission needed to host, process, and display it so the service works for you and the people you share with. We do not sell your data. See our Privacy Policy for how it's handled.

Client links are private, unguessable, and revocable. Anyone who has the link can see the project's client-facing view and act on client-owned items, so you are responsible for who you send it to. You can turn a link off or issue a new one at any time from the project.

The assistant drafts plans, organizes tasks, schedules reminders, and summarizes activity. Everything it produces is a draft for a human to review. It never marks work complete on your behalf and never claims delivery that hasn't happened. You are responsible for reviewing plans and dates before you commit to them with a client.

We work to keep the service up and reliable, but we provide it "as is" without warranties. Maintenance, third-party outages, and incidents can interrupt access.

To the fullest extent the law allows, Toby The Doby, LLC is not liable for indirect, incidental, or consequential damages, or for lost profits or lost data. Our total liability for any claim is limited to the amount you paid us in the 12 months before the claim.

You can stop using the service and ask us to delete your workspace at any time. We may suspend or end an account that breaches these terms, and we will tell you why unless doing so would be unlawful.

We may update these terms; material changes will be announced in the app or by email before they take effect. These terms are governed by the laws of the State of Texas, USA. Questions: team@clientonboarding.ai.
